True Bearing LLC ("True Bearing," "we," "us," or "our") operates YardIQ, an AI-powered courtesy inspection platform. This Privacy Policy describes how we collect, use, store, and protect information when you use YardIQ and related services (collectively, the "Service").
By using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, do not use the Service.
1. Information We Collect
1.1 Information You Provide
- Account and Dealership Information. When you register, we collect your dealership name, phone number, physical address, billing address, website, report email address(es), logo, manager name, and PIN (stored as a bcrypt hash — we never store plaintext PINs).
- Technician Information. Technician first names and PINs (hashed) for each user created under your dealership account.
- Inspection Data. Boat information (make, model, HIN), engine details (brand, model, serial, hours), inspection findings (descriptions, severity, corrections), and photos uploaded during inspections.
- Work Order Data. Part numbers, part descriptions, costs, labor hours, and notes entered by service writers.
- Payment Information. Payment is processed by Stripe, Inc. ("Stripe"). We receive a payment confirmation and transaction identifier from Stripe but do not receive or store your full credit card number, CVV, or other sensitive payment card details.
1.2 Information Collected Automatically
- Usage Data. We may collect information about how the Service is accessed, including timestamps of inspections, login events, and feature usage.
- Device Data. Browser type, device type, operating system, and screen resolution for the purpose of optimizing the mobile experience.
- Log Data. Our servers automatically record IP addresses, request timestamps, and error logs for operational monitoring and debugging.
1.3 Information Generated by the Service
- OCR Outputs. Text extracted from HIN plates, engine stickers, and boat model lettering via AI-powered optical character recognition.
- Inspection Reports. .docx documents generated from inspection data, branded with your dealership's logo and contact information.
- Dealer Codes. Unique 6-digit dealer codes generated from your phone area code and assigned during registration.
2. How We Use Your Information
We use the information we collect to:
- Operate, maintain, and improve the Service;
- Generate inspection reports and work orders;
- Deliver reports via email to your designated report email address(es);
- Process subscription payments through Stripe;
- Provide customer support and respond to inquiries;
- Monitor service performance and diagnose technical issues;
- Comply with legal obligations.
3. Aggregated and Anonymous Data
3.1 We may aggregate and anonymize inspection data — including findings, severity ratings, failure types, inspection item statistics, and related service data — such that it cannot reasonably be used to identify any individual dealership, technician, customer, or specific vessel.
3.2 We may use aggregated and anonymous data for any lawful purpose, including but not limited to:
- Publishing industry trend reports, benchmarks, and research on common inspection findings, failure patterns, and service trends;
- Developing data products, analytics, or insights for the marine service industry;
- Improving the Service, including AI models and finding suggestions;
- Marketing and promotional purposes, such as publishing statistics about inspection volumes or common deficiencies;
- Licensing or selling aggregated, anonymous datasets or reports to third parties, including industry associations, manufacturers, insurers, and other commercial entities.
3.3 Aggregated and anonymous data is not subject to the restrictions on sharing described in Section 4 below, because it does not constitute personal information or identifiable dealership data.
3.4 We will never re-identify or attempt to re-identify aggregated data, and we will require any third-party recipients of aggregated data to agree to the same restriction.
4. How We Share Your Information
We do not sell, rent, or trade your personal information or identifiable inspection data. We share identifiable information only in the following circumstances:
- Service Providers. We use third-party services to operate the platform: Supabase (database and file storage), DigitalOcean (hosting), Stripe (payment processing), Mailgun (email delivery), and Anthropic (AI/OCR processing). These providers access only the data necessary to perform their function and are bound by their own privacy policies.
- Legal Requirements. We may disclose information if required by law, subpoena, court order, or governmental regulation.
- Business Transfer. In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction. We will notify you of any such change.
5. AI and OCR Processing
YardIQ uses Anthropic's Claude AI for optical character recognition (OCR) of HIN plates, engine identification stickers, and boat model lettering. Images submitted for OCR are sent to Anthropic's API for processing and are subject to Anthropic's privacy policy. We do not use your inspection data to train or fine-tune any AI model.
6. Data Storage and Security
6.1 Your data is stored in cloud infrastructure provided by Supabase (PostgreSQL database) and Supabase Storage (photos and logos). Our application server is hosted on DigitalOcean.
6.2 All data is transmitted over HTTPS/TLS encryption. PINs are stored as bcrypt hashes. Access to production systems is restricted to authorized personnel.
6.3 While we implement commercially reasonable security measures, no system is completely secure. We cannot guarantee absolute security of your data.
7. Data Retention
We retain your account and inspection data for as long as your subscription is active. After account termination, we may retain data for up to 90 days for backup and compliance purposes before permanent deletion. You may request earlier deletion by contacting us.
8. Your Rights
You have the right to:
- Access the data we hold about your dealership — contact help@dealer-vision.net;
- Request correction of inaccurate account information;
- Request deletion of your account and all associated data;
- Cancel your subscription at any time.
We will respond to data requests within 30 days.
9. Cookies
YardIQ uses only essential cookies and local storage required for authentication session management (JWT tokens). We do not use tracking cookies, advertising cookies, or third-party analytics cookies.
10. Children's Privacy
YardIQ is a professional B2B service for marine dealerships and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes by email at least 14 days before the changes take effect. The effective date at the top of this page will reflect the most recent revision.
